How to get every client's GST documents before the 11th

Docflo Team · 25 October 2026

Most GST practices don't have a filing problem. They have a collection problem. The return itself takes minutes once the purchase bills, sales register and bank statement are in; what takes days is getting them.

Here is the routine we see working at small firms with 50 to 300 GST clients.

1. Ask on a fixed day, every month

Send the request for last month's documents on the 1st, not "when we start working on it". Clients learn the rhythm within two or three months, and the request stops feeling like a favour.

The request should list only what that client actually sends — a trader with no e-way bills should not be asked for e-way bills. A generic list gets ignored.

2. Make sending effortless

Most shop owners will not log in to anything. They will forward photos on WhatsApp. Accept that, and make the alternative a single link that opens a list with an upload button next to each item.

  • No passwords: a one-time code to their mobile is enough.
  • Camera button on mobile: most bills are photographed, not scanned.
  • Show what has already been received, so they don't send the same bill three times.

3. Remind on a schedule, not on memory

A good default is a reminder on day 3 and day 7, then weekly. Each reminder should mention only what is still pending:

Namaste Rakesh ji, a gentle reminder from Mehta & Associates. For September we still need: purchase bills, bank statement. You can upload here: [link]

From the third reminder, a firmer line about the filing date works better than repeating the same polite text.

4. Sort as documents arrive

When files come in during the month instead of on the 10th, someone can sort them in small batches. Name each file with the client, month and type the moment it arrives — or let software do it — so nothing has to be renamed later.

5. Track it in one place

The partner should be able to answer "who is pending for September?" in ten seconds. A shared spreadsheet works up to a point; past 50 clients it is usually out of date by the 5th.

A realistic target

Firms that follow this routine typically have 70–80% of clients complete by the 7th, which leaves the last few days for the genuinely difficult cases rather than for everyone.

If you want this routine to run on its own, Docflo sends the monthly checklist on WhatsApp, sorts what comes back, and reminds clients until everything is in.
